SECTION FUNCTION

Administration Unit: General Administration

  1. Planning and managing all general administrative matters of the department in accordance with office regulations and relevant circulars/letters.
  2. Coordinating all matters related to the House of Representatives/Senate and Cabinet.
  3. Coordinating all matters related to Cabinet Papers and monitoring feedback on Cabinet Meeting decisions.
  4. Managing and coordinating the nomination process for awards/medals of honor.
  5. Managing and coordinating matters related to official and unofficial visits abroad.
  6. Managing and coordinating matters with KeKKWa and other agencies.
  7. Managing the maintenance and booking of departmental vehicles.
  8. Managing and maintaining facilities and bookings for sports fields (football, basketball, netball, gym).
  9. Managing and monitoring the department's time recording system.
  10. Managing and coordinating departmental ceremonial events.
  11. Performing Secretariat duties for the following:
    • Integrity/Bureaucracy Committee
    • Management Meetings
    • Advisory Board Meetings
    • Standard Operating Procedures Manual
    • Managing employee welfare matters
    • Government housing
    • Medical treatment

Administration Unit: Security Unit

  1. Managing and coordinating security procedures (main office, memorials, and state branches).
  2. Managing and coordinating security guard recruitment.
  3. Managing and coordinating position certification exams and security guard training.
  4. Managing departmental document security and confidentiality in collaboration with the Records Management and Registry Section.
  5. Enhancing daily departmental security (staff, visitors, buildings, the public, etc.).
  6. Managing security during official events.

Human Resource and Organizational Development Unit

  1. Planning and managing career development and progression.
  2. Conducting Training Needs Analysis for career development.
  3. Planning and providing specialized and professional training for archive service schemes.
  4. Planning and providing general training based on public service scheme requirements.
  5. Providing course content and modules for archive service & collaboration schemes.
  6. Managing the Competency Assessment Test (CAT).
  7. Managing Departmental Examinations and Public Service General Examinations.
  8. Developing organizational policies and directions.
  9. Planning and implementing departmental strategic management and corporate image.
  10. Planning and developing departmental organizational structure, roles, functions, and activities.
  11. Human Resource Development Panel.
  12. Planning and implementing change management, leadership, good governance (accountability, integrity & transparency).
  13. Business process improvement, KPI, and desk file studies.
  14. Conducting reassessment of capabilities and capacities.

Human Resource Management Unit

  4. Managing appointments, recruitment, confirmation, promotions, and retirement.
  5. Updating the service book.
  6. Managing SISPEN and HRMIS.
  7. Managing asset declaration, security clearance, and integrity screening.

  9. Performance appraisal and Excellent Service matters.
  10. Counselling matters.
  11. Joint Department Meeting.
  12. Occupational Safety and Health.

  1. Managing placement and transfers.

  3. Managing the Registry at the Section level.
  4. Coordinating personnel and service matters for the Section.
